JOB PURPOSE: To coordinate day-to-day facility operations and maintenance activities for National Innovation Accelerator Center -Terminal 11, ensuring a safe, functional, and well-maintained environment for tenants, members, and visitors. Responsible for managing vendor relationships, coordinating maintenance requests, and supporting facility-related projects. ROLES AND RESPONSIBILITIES: 1. Facility Operations • Coordinate daily facility operations including cleaning, security, and maintenance. • Conduct regular facility inspections and walkthroughs. • Identify and report facility issues, defects, and maintenance needs. • Ensure common areas, meeting rooms, and amenities are properly maintained. 2. Maintenance Coordination • Receive and log maintenance requests from tenants and staff. • Coordinate with vendors and contractors for repairs and maintenance. • Track maintenance work orders from request to completion. • Ensure timely resolution of maintenance issues. 3. Vendor Management • Coordinate with facility service providers (cleaning, MEP, security, etc.) • Monitor vendor performance and service delivery. • Schedule and supervise vendor activities on-site. • Report vendor issues to the Director of Operations. 4. Health, Safety & Environment • Support implementation of HSE policies and procedures. • Conduct regular safety checks and inspections. • Coordinate fire drills and emergency preparedness activities. • Maintain safety equipment and documentation. 5. Access & Security • Coordinate access control for tenants, visitors, and contractors. • Monitor security systems and report issues. • Manage key and access card issuance and tracking. • Support security-related incidents and escalations. 6. Space Management • Coordinate workspace setups, moves, and changes. • Support event setup and breakdown as required. • Maintain accurate records of space utilization. • Assist with space planning and layout adjustments. 7. Utilities & Services • Monitor utilities consumption and report anomalies. • Coordinate with utility providers and building management on service issues. • Ensure reliable operation of HVAC, electrical, and plumbing systems. • Track and manage service requests with building management. 8. Documentation & Reporting • Maintain facility logs, maintenance records, and vendor files. • Prepare reports on facility status, maintenance activities, and incidents. • Support audits and compliance inspections. • Manage facility-related asset inventory. COMMUNICATION CHANNELS: Internal: • Director of Operations. • Member Experience Officer. • Admin Officer. • All internal departments and staff. External: • Facility service providers and contractors. • Building landlord. • Utilities providers. • Security and safety authorities. MINIMUM QUALIFICATIONS AND REQUIREMENTS: Educational Qualifications: • Diploma or Bachelor's degree in Facilities Management, Engineering, or related field. Professional Qualifications: • Certifications in facilities management (IFMA, BIFM) are advantageous • HSE certifications are desirable Work Experience: • 3–6 years of experience in facility coordination, building management, or related roles • Experience coordinating with vendors and contractors • Experience in commercial real estate, hospitality, or co-working environments is preferred Languages: • Fluency in English is essential. • Arabic is advantageous. Computer Skills: • Proficiency in Microsoft Office Suite. • Experience with facility management or CMMS systems is desirable. • Familiarity with access control and building management systems.
