PR/Admin Officer Job DescriptionResponsibilities:I. PR/GR/Protocol Services Management:· Working closely with local government and municipality bodies in Oman to renew, update and maintain the Company’s docs (commercial registration, office lease agreement, employees’ job contracts, IDs, and other government certificates as required) and other issues;· Liaising physically and through government e-services portals with Ministry of Commerce and Industry (MOCI), Ministry of Labour, Royal Omani Police, Customs, Tax Authority, Sanad Office, OPAC, Sohar Free Zone, Duqm Free Zone as well as with local banks, companies and businesses;· Maintaining official written correspondence in Arabic and English with Company’s key stakeholders (government bodies, potential investors and business partners) aimed to support the Company’s business activities in Oman;· Handling license applications and company incorporation issues, for example with free zone authorities such as Sohar Free Zone, Duqm Free Zone and other;· Arranging legal attestation and translation of documents such as power of attorney, constitutional documents, NOC, board resolutions or any other letters for various purposes as required;· Processing and submitting visa, work permits applications to the Ministry of Manpower, ROP;· Submitting and collecting physical docs from various government bodies, for example ID cards from the Royal Oman Police and etc.;· Assisting the Company in providing secure accommodation and transport for delegates, clients and registering staff with immigration authorities and the local municipality;· Providing protocol services, supporting the Company’s clients in their visits to Oman (pick-up / drop-off, transfers, meetings arrangements, immigration issues and etc.): · Keeping track of changes in Oman’s corporate and labour laws and regulations;· Carrying out other assignments of CEO, if required;II. Office Issues management:· Collating and filing G&A / office expenses, ensuring accurate and timely reporting as well as ensuring that all items are invoiced and paid on time;· Supporting the office functionality, paying utility bills and ordering all required for its performance such as stationery, equipment, catering and other services;· Coordinating with outsourcing service providers, including cleaning, repair, IT services and etc.; · Maintaining the office working condition and arranging necessary repairs;· Liaising with facility management vendors (A/C, security, reception services and etc.);· Carrying out other office admin assignments coming from CEO, if required;Skillset and requirements:· Excellent skills in writing and speaking in Arabic and English;· Experience in working with government e-services portals (MOCI, MOL, ROP and etc.);· In-depth knowledge and experience of dealing with local government bodies, including Free Zones in Oman;· Operational understanding of labour, employment, company incorporation and immigration laws in Oman;· A wide network of contacts in Oman and government bodies, leveraging personal connections (where applicable), to legally expedite business processes;· Proactive worker;· Driving license;· Omani citizenship (as per Omanization programme).Qualifications:Bachelor's degree
